We hold and make use of your data in order to administer applications and any grants we may award, and for the purposes of carrying out our charitable objectives.

Your data is the information you provide in this form, or otherwise (eg on the phone), in the course of your grant application. We need to collect and hold this data in order to conduct our due diligence and to make reasonable assessments when awarding grants, in line with our charitable objectives. We collect personal data about you and your circumstances, including other members of your household where relevant. This may include sensitive (special category) data, and this detail is required so that we can take all your circumstances into account and to offer additional support if required.

Your data will be held beyond the application decision date or any final grant payment date if applicable, to inform future grant applications, due diligence and decisions, and to inform future grant making policy/processes. As we are a grant making charity, holding this data to make and implement grants is in our “legitimate interests”, and this is our lawful basis for processing your data under Article 6(1)(f) of the General Data Protection Regulation (GDPR) 2018, and Article 9(2)(d) “Not-for-profit bodies” where it includes ‘special category’ data.

Your data is held and processed solely for use within Streynsham’s Trust. Your data will be included in records temporarily shared with, and required by, the Trust’s Chartered Accountant to audit our end of year accounts. We may need to share your personal data for purchasing/ delivery/ installation of goods, and we will check your consent before doing this.  Other than the above, your data will not be shared with any other third parties.

We take your personal data privacy seriously.  Your data will be stored securely and held for a period as necessary to comply with Charity Commission regulations on record keeping, and for the purposes of legitimate activities as described in carrying out our charitable objectives. This data retention period is 10 years from the end of the financial year it was collected, at which time it will be reviewed, and if no longer justifiably needed, it will be deleted or anonymised.
